Customer Scenarios
How can outsourced projects avoid sending payslips to the wrong employee?
An anonymized customer question, adapted to SugarHR’s published workflow. This is practical guidance, not a verified implementation result.
Use a reliable employee identifier and personal delivery address, then verify each project's approved period and batch. Name matching alone is not a sufficient control.
The situation
An outsourced-project organization faced repeated names, several responsible people and different payroll dates.
Why this condition changes the workflow
A correct amount sent to the wrong similarly named person remains a failure. Include project membership, changed addresses and final settlements in the sample before arranging each project's delivery date.
A practical sequence for this situation
1. Identify project, period and settlement scope. Confirm the people and settlement date for each project, then use recognizable project and batch references. Keep departing workers who still need final details distinguishable from the active list.
2. Validate identity and recipient mapping. Inspect employee identifiers and personal addresses, including same-name people, changed contacts and unsettled leavers. Compare the preview with the approved source before the file becomes a live delivery batch.
3. Schedule approved data deliberately. Verify the batch, date and relevant time settings before scheduling. Check the supported method for changing or cancelling the plan, and do not treat unapproved figures as ready for unattended release.
4. Test employer identity and management scope separately. Use two representative employers to inspect statement labels, batches and administrator visibility. Record whether the requirement is identification, isolation or unified access; a spreadsheet label does not prove all three.
What a useful test should demonstrate
Keep employer, project where relevant, period, recipient and approved version identifiable throughout the record. Test the actual account arrangement or final-settlement route, not merely a label on a sheet. Separate organizational approval, employee acknowledgment and bank payment so one successful event is not treated as proof of all three.
Questions to resolve in this context
How should changing project teams and dates be organized?
Confirm each project's current recipients, approved period and final-settlement list before delivery. Use recognizable project and batch references, and verify records afterward. Different project dates do not establish native project-manager permissions or unlimited sending allowances; confirm those requirements separately. Read the general explanation.
How can we reduce mismatches between people and addresses?
Check a reliable employee identifier alongside the person's reachable address. Include same-name workers, changed contacts, new starters and former staff awaiting settlement. Successful upload is not evidence that every source association is correct; compare representative personal previews before release. Read the general explanation.
Can approved batches be scheduled for different dates?
The published workflow includes scheduling. Prepare approved data first and verify the intended batch, date and account time settings, including any relevant local-time behavior. Check how changes or cancellation work before relying on an unattended send; do not schedule unapproved figures. Read the general explanation.
Does a company column create separate company spaces?
No. A company label can identify the employer shown on a statement. Separate workspaces, entity switching, scoped administrators and consolidated reports are different requirements. Demonstrate the intended arrangement with representative employers rather than inferring organization features from a column in Excel. Read the general explanation.
