Customer Scenarios
How can we pilot electronic payslips before replacing paper next month?
An anonymized customer question, adapted to SugarHR’s published workflow. This is practical guidance, not a verified implementation result.
Keep the existing process while representative employees test personal receipt, review, confirmation and archiving. Expand only when the whole path works.
The situation
A business with more than 50 staff explored electronic delivery before the next month rather than demanding an immediate switch.
Why this condition changes the workflow
A parallel pilot gives the team room to learn without making a live payroll dependent on an unfamiliar entry point. Choose participants by different working conditions, not only by who is easiest to demonstrate to.
A practical sequence for this situation
1. Map the responsibilities behind the paper process. Preserve calculation approval, checking, employee review and archive access when removing paper handling. Compare old and proposed steps so reduced printing does not accidentally remove a necessary control.
2. Test the people who will do the work. Have the actual administrator perform the send, an employee independently receive and review it, and finance retrieve a usable record. Record what each role completed rather than counting attendance at training.
3. Choose a representative pilot. Use a small anonymized or simulated sample reflecting the real layout and employee conditions. Confirm current trial limits and record observations for receipt, review, acknowledgment, correction and retrieval before expanding.
4. Retrieve and inspect a real record. Download an available test record and check the people, period and relevant acknowledgment event against the approved figures. Keep that verified relationship in the monthly archive; do not rely only on a screenshot.
What a useful test should demonstrate
Write down what the actual operator and representative employee completed, what remains untested and which prerequisite would prevent adoption. The useful decision is whether the required workflow fits. Do not turn a sample, a new registration or an available feature into evidence that missing calculation, equipment, access or organizational responsibilities have been resolved.
Questions to resolve in this context
Who needs to operate the pilot before a wider rollout?
The person preparing payroll should check the source file, the actual administrator should send and retrieve records, and representative employees should open and acknowledge independently. A group watching one demonstration does not show that each role can repeat the process. Read the general explanation.
How can finance know that an export is usable?
Download an actual test file and inspect people, periods, relevant statuses and the connection to approved figures. Ask separately about handwriting images, timestamps and required formats. Published record export does not establish that every desired field or layout is available. Read the general explanation.
