Customer Scenarios
What can improve when 400 employees already receive payslips by email?
An anonymized customer question, adapted to SugarHR’s published workflow. This is practical guidance, not a verified implementation result.
Keep the familiar email route while testing approved-file bulk preparation, delivery tracking and usable acknowledgment records.
The situation
An HR evaluator had previously received payslips as an employee and now needed to assess the administrator workflow for more than 400 staff.
Why this condition changes the workflow
The value proposition should address repetitive sender work and exceptions rather than forcing staff onto a different channel because an older domestic example used it. Test the existing layout and recipient list.
A practical sequence for this situation
1. Investigate the original email record. Validate the address and batch, review delivery and opening information and check spam with the recipient. Preserve error details and timing if unresolved; avoid creating another indistinguishable payroll batch.
2. Preview the approved batch before sending. Confirm the intended people, pay period and approved amounts, then inspect employee-specific previews. Personal delivery should be tested without exposing the full internal payroll to recipients.
3. Preserve the old archive before switching. Retrieve useful historical records while the earlier tool is available. Test the new current-period workflow separately from any proposed history migration, checking identity associations and formats explicitly.
4. Schedule approved data deliberately. Verify the batch, date and relevant time settings before scheduling. Check the supported method for changing or cancelling the plan, and do not treat unapproved figures as ready for unattended release.
What a useful test should demonstrate
Record the tested recipient route, the account and batch, and the employee’s observed access result. Distinguish an available administrator control from a usable employee journey. If the intended route cannot be demonstrated, or a failed route has merely been bypassed, keep that condition open rather than mark the whole delivery problem solved.
Questions to resolve in this context
What should we check when an email is missing?
Find the correct account, period and batch, validate the address, inspect delivery and opening information and ask the employee to check spam. Retry the appropriate record only after checking the cause. Preserve the error and time if further investigation is needed. Read the general explanation.
Can approved batches be scheduled for different dates?
The published workflow includes scheduling. Prepare approved data first and verify the intended batch, date and account time settings, including any relevant local-time behavior. Check how changes or cancellation work before relying on an unattended send; do not schedule unapproved figures. Read the general explanation.
How can finance know that an export is usable?
Download an actual test file and inspect people, periods, relevant statuses and the connection to approved figures. Ask separately about handwriting images, timestamps and required formats. Published record export does not establish that every desired field or layout is available. Read the general explanation.
