Customer Scenarios
How can we verify complete pay details and usable acknowledgment exports?
An anonymized customer question, adapted to SugarHR’s published workflow. This is practical guidance, not a verified implementation result.
Check employee-visible completeness and finance's real exported file, not merely whether generation succeeds. Test the people who will perform both roles.
The situation
Several colleagues tested a workflow with more than ten pay columns and had difficulty locating the employee name or downloading the required material.
Why this condition changes the workflow
The preview should identify employee and period and explain the relevant items. The archive should be demonstrably usable for the stated purpose; a screenshot of a successful action is not a substitute.
A practical sequence for this situation
1. Check what employees should see. List essential pay explanations and internal-only fields. Preview different roles, names and zero-value items against that list, and verify any needed presentation setting in the current account.
2. Test the people who will do the work. Have the actual administrator perform the send, an employee independently receive and review it, and finance retrieve a usable record. Record what each role completed rather than counting attendance at training.
3. Retrieve and inspect a real record. Download an available test record and check the people, period and relevant acknowledgment event against the approved figures. Keep that verified relationship in the monthly archive; do not rely only on a screenshot.
4. Let employees review before the requested action. Explain what the statement covers and which acknowledgment is required. Keep unread, unconfirmed and queried statements distinguishable so the administrator can respond to the actual issue rather than assume every delay has one cause.
What a useful test should demonstrate
Open the actual retrieved file and check employee identity, period and the information finance needs. Preserve its relationship to the approved source and any correction. If required handwriting, timing or combined layouts are absent, record that gap explicitly rather than substituting a screenshot of an on-screen success label.
Questions to resolve in this context
How should names, internal columns and zero items appear?
List what employees need to see and what must remain internal, then compare individual previews with that list. The website describes simplification and default zero-item hiding. Confirm any requirement to retain all zeros or manually select columns in the current template. Read the general explanation.
Who needs to operate the pilot before a wider rollout?
The person preparing payroll should check the source file, the actual administrator should send and retrieve records, and representative employees should open and acknowledge independently. A group watching one demonstration does not show that each role can repeat the process. Read the general explanation.
How can finance know that an export is usable?
Download an actual test file and inspect people, periods, relevant statuses and the connection to approved figures. Ask separately about handwriting images, timestamps and required formats. Published record export does not establish that every desired field or layout is available. Read the general explanation.
