Workflow Guides
Verify exported records and build a monthly archive
Inspect the actual exported file, then keep it linked to the approved payroll and any subsequent corrections.
Before you start
Identify the authorized account, the employer and pay period, and the person who owns the input data. Use controlled sample information for a first test. Check the current account and supported interface where a setting matters; supplied older images illustrate a workflow, not every available configuration.
Steps
-
Locate the intended account, employer, pay period and issued batch.
-
Download the available test record through the current supported retrieval process.
-
Open it and check employee identity, period, status meanings and any required timing or handwriting fields.
-
Compare the file with the approved source and identify unavailable fields honestly.
-
Store the verified files with original and corrected references under controlled organizational access.
-
Ask another authorized person to retrieve the period's record to check that the archive is usable.
Check the result
Ask another authorized person to retrieve the period's record to check that the archive is usable. Keep the observed result and any unresolved condition with the relevant account, period and record reference. A completed screen should not be used to claim a different event.
If something goes wrong
Do not assume all desired data fits one universal spreadsheet or bulk PDF layout. Complete retrieval checks before ending service instead of waiting until access is uncertain.
