Excel and recipient preflight checklist

Use this checklist with your existing approved payroll file. It checks readiness for personal delivery; it is not a calculation template or a promise that every workbook needs identical columns.

Identify the approved input

  • The issuing employer and pay period are unambiguous.
  • Final figures have been checked and approved in the existing payroll process.
  • The source version and person authorizing release can be identified.
  • Employee rows are distinguishable from totals, notes and sign-off areas.

Check the people and addresses

  • Each intended recipient has a reliable employee identifier and personal delivery address.
  • Same-name workers have been checked individually.
  • New starters and changed contacts are reflected in the current period.
  • Former employees awaiting final settlement have not been lost from the list.
  • Test recipients and demonstration amounts are excluded from the live batch.

Compare the employee preview

  • Employee name, employer, period and approved figures correspond to the source.
  • Required pay explanations remain visible.
  • Internal-only information is not exposed accidentally.
  • Zero-value items behave as required in the tested current layout.

Example, not employee data: Employer: Example Company; period: Test Period; employee reference: DEMO-01; address: a controlled test inbox. Add amounts only in an authorized sample file, not in this public page.

Record the reviewer, review date, exceptions and decision to proceed or retest. An unresolved wrong-person association or unapproved amount is a reason to stop, even if upload completes.
