Customer Scenarios
What does acknowledgment mean when payslips are sent before bank payment?
An anonymized customer question, adapted to SugarHR’s published workflow. This is practical guidance, not a verified implementation result.
Treat the statement acknowledgment and the payment event as separate records. Identify employer, period and corrected versions clearly.
The situation
Three companies with around 100 people in total issued details before the bank payment took place.
Why this condition changes the workflow
The wording must not imply the employee has already received money merely because they confirmed a document. Preserve the actual timing and the organization's way of resolving amount queries before or after payment.
A practical sequence for this situation
1. Record statement and payment events separately. Keep clear references for the statement, the employee action and the actual bank-payment process. This is especially important for final commissions, corrections or pay details distributed before funds arrive.
2. Test employer identity and management scope separately. Use two representative employers to inspect statement labels, batches and administrator visibility. Record whether the requirement is identification, isolation or unified access; a spreadsheet label does not prove all three.
3. Correct the identified record. Find the affected employee and original batch, check its acknowledgment state and use the supported correction process. Preview the approved replacement and preserve the link between old and revised information.
4. Interpret each recorded event. Review delivery, opening, active acknowledgment and any automatic event separately. Confirm which fields are actually available and whether they establish the step the organization needs to document.
What a useful test should demonstrate
Retain the period and statement reference together with the specific action observed. Check whether finance can distinguish opening, a personal click, handwriting and an automatic event. A complete-looking status is not a substitute for knowing which event occurred, and it should not be used to claim a different payment or approval event.
Questions to resolve in this context
Does a delivered or acknowledged payslip prove payment?
No. Statement delivery, employee review and bank transfer are separate events. Keep the relevant dates and records for each, especially for final settlements or statements issued before payment. A digital confirmation must not be described as a receipt of funds unless separately established. Read the general explanation.
Does a company column create separate company spaces?
No. A company label can identify the employer shown on a statement. Separate workspaces, entity switching, scoped administrators and consolidated reports are different requirements. Demonstrate the intended arrangement with representative employers rather than inferring organization features from a column in Excel. Read the general explanation.
How should an incorrect amount, recipient or version be corrected?
Identify the affected employee and original batch, then check its current state. Use the supported void, recall or correction process, preview the approved replacement and retain its relationship to the original. Verify restrictions for acknowledged records instead of promising an invisible rollback. Read the general explanation.
