Customer Scenarios
What should finance keep in a monthly payslip record pack?
An anonymized customer question, adapted to SugarHR’s published workflow. This is practical guidance, not a verified implementation result.
Retrieve a test export and compare it with the approved payroll, employee list and acknowledgment events. A confirmed label on a screen is not a complete archive.
The situation
A team of about 32 had sent its batch and needed finance to find and download usable confirmation records.
Why this condition changes the workflow
Finance should identify the exact fields it needs, such as the period and action type, and inspect the actual file. Do not assume a single spreadsheet includes every signature image and timestamp.
A practical sequence for this situation
1. Retrieve and inspect a real record. Download an available test record and check the people, period and relevant acknowledgment event against the approved figures. Keep that verified relationship in the monthly archive; do not rely only on a screenshot.
2. Let employees review before the requested action. Explain what the statement covers and which acknowledgment is required. Keep unread, unconfirmed and queried statements distinguishable so the administrator can respond to the actual issue rather than assume every delay has one cause.
3. Validate identity and recipient mapping. Inspect employee identifiers and personal addresses, including same-name people, changed contacts and unsettled leavers. Compare the preview with the approved source before the file becomes a live delivery batch.
4. Confirm a workable receipt route. Identify what each employee group can reliably use. If personal email is not workable, confirm an available local alternative before adoption; an app-free product description does not establish a reachable channel.
What a useful test should demonstrate
Open the actual retrieved file and check employee identity, period and the information finance needs. Preserve its relationship to the approved source and any correction. If required handwriting, timing or combined layouts are absent, record that gap explicitly rather than substituting a screenshot of an on-screen success label.
Questions to resolve in this context
How can finance know that an export is usable?
Download an actual test file and inspect people, periods, relevant statuses and the connection to approved figures. Ask separately about handwriting images, timestamps and required formats. Published record export does not establish that every desired field or layout is available. Read the general explanation.
How do handwriting, one-click acknowledgment and opening differ?
Opening records access to the statement. Handwriting and one-click confirmation involve the employee's configured action after review. Select the event the organization needs and inspect its recorded meaning; none automatically provides identity certification or settles every possible dispute. Read the general explanation.
