Customer Scenarios

What should our first electronic payslip pilot test?

An anonymized customer question, adapted to SugarHR’s published workflow. This is practical guidance, not a verified implementation result.

Pilot the complete workflow and deliberately test an error as well as a successful send. Confirm how the current product handles records at different acknowledgment states.

The situation

A first-time user needed to understand initial employee access, recurring sends, corrections and the handling of signed records.

Why this condition changes the workflow

A first login experience may differ from the monthly routine. Record both, and test wrong-recipient and wrong-amount situations before assuming the live correction path is reversible in every state.

A practical sequence for this situation

1. Test the people who will do the work. Have the actual administrator perform the send, an employee independently receive and review it, and finance retrieve a usable record. Record what each role completed rather than counting attendance at training.

2. Confirm a workable receipt route. Identify what each employee group can reliably use. If personal email is not workable, confirm an available local alternative before adoption; an app-free product description does not establish a reachable channel.

3. Correct the identified record. Find the affected employee and original batch, check its acknowledgment state and use the supported correction process. Preview the approved replacement and preserve the link between old and revised information.

4. Let employees review before the requested action. Explain what the statement covers and which acknowledgment is required. Keep unread, unconfirmed and queried statements distinguishable so the administrator can respond to the actual issue rather than assume every delay has one cause.

What a useful test should demonstrate

Keep an identifiable original record, the reason for correction, the authorized replacement and the result of re-delivery. Review what the current state allowed the administrator to do. If the required change or record relationship cannot be demonstrated, do not treat a successful unrelated draft edit as proof that the live error is resolved.

Questions to resolve in this context

Who needs to operate the pilot before a wider rollout?

The person preparing payroll should check the source file, the actual administrator should send and retrieve records, and representative employees should open and acknowledge independently. A group watching one demonstration does not show that each role can repeat the process. Read the general explanation.

How should an incorrect amount, recipient or version be corrected?

Identify the affected employee and original batch, then check its current state. Use the supported void, recall or correction process, preview the approved replacement and retain its relationship to the original. Verify restrictions for acknowledged records instead of promising an invisible rollback. Read the general explanation.
